Duties and Responsibilities
1. Local and International Flight Arrangements
Booking of flights, car hire and accommodation for the entire AVI International team on the Travel IT Portal.
Applications for Visa’s for each country RGM visits.
Arrange relevant travel insurance for every international flight
Ensure all coordination of travel plans from beginning to end.
2. International Travel Arrangements:
Liaise with the pilot for times and routings for Board Meetings (Botswana, Zambia, Namibia and Mozambique).
Paperwork for each traveller as per pilots requirements
Assisting with travel schedule for the entire trip.
Ensure all coordination of travel plans from beginning to end.
3. Sales and Marketing Reporting
Compilation of the below SQL sourced reports. This involves updating the reports, refreshing from SQL database, verifying and reviewing of data and distribution of the reports
4. Presentations, Reports, Meetings and Event
Compiling and assisting of strategy booklet, presentations for AVI Head Office, budget pre-read and presentations for AVI Exec directors, etc.
Summary of compiling and assisting presentations for ad-hoc meetings as well as business unit staff update sessions
Compiling and assisting of risk packs including minutes
Planning and coordination of all staff functions, year-end function special events and management meetings
5. Finance Administration
Reconciliation and payment of all expense claims for entire AVI International team
Creating RQ, PO and GRN on SAP for Finance and Marketing
Follow-up on suppliers for invoices for month-end
Ensuring the Credacc portal is updated on a weekly basis for queries from Accounts Payable on any invoices
Facilitate Standard Bank Corporate Card Applications and process for all employees
Control and administration for Forex
6. General Office Administration
Facilitate new suppliers and customers
Reception duties for front office (Clients, customers, and deliveries)
Stationery, printer toner and paper, laptop and other computer equipment ordering and controlling
Manage and maintain movements of workstations and laptops.
Ensuring the asset register is kept up to date for each employee
Reporting of repairs and general office house-keeping
Health and Safety Registers are completed on a monthly basis and attend meetings on a monthly basis

Experience Required
At least 10 years’ Office Support experience of which at least 5 years in a senior office function supporting multiple executives
Minimum Qualifications Required
Grade 12
A completed qualification related to Secretarial/Office Administration essential
Knowledge Required Sound MS Office proficiency especially Word and PowerPoint
Typesetting and document formatting experience
Working knowledge of SAP required
