Job Purpose

The Operations Assistant will manage, perform and coordinate a variety of administrative duties within the Operations Department to assist Managers and other employees with the daily operation activities and POD Function of the business.
Responsibilities

Manage and coordinate POD Function within the business
General administration of operations activities
Customer service (internally)
Assist Manager to identify and resolve operational issues
Review and improve operational processes

Core Functions

Retrieve and follow up on PODS with various Service providers
Review and update daily missing POD report
Record keeping, scanning and loading of PODS on the server
Monitor and control driver trip sheets and PODS per area
Monitor missing POD reports and problem orders
Escalate PODS reports to the relevant manager
File, store and manage documents as and when needed
Support the manager in managing and resolving operational issues
Ensure communication with internal staff on a customer service level
Effectively record and report on losses created through operational activities
Knowledge of 3rd party claims management process
Query management
Quality control
Customer Service
Import/Export, and knowledge of Incoterms
Supplier Invoices/Delivery note verification process for payments
Review and improve processes to ensure effective service delivery
Review operational processes with intent to improve practices and cost efficiencies

Requirements of the Job
Experience

Minimum 3- 5 years’ experience in Operations/Warehousing environment

Minimum qualifications

Matric
Knowledge of Microsoft Office, Excel and Word, SAP (Docu-vision will be an advantage)
